MINUTES
A.V. Baucom Elementary School PTA
Board Meeting
March 26, 2005
The regular
March meeting of the Baucom Elementary PTA Board was called to order on Tuesday,
March 15, 2005 at 6:05 p.m. at A.V. Baucom Elementary School. Dee Conners, president, presided. Minutes from the February meeting were
approved as written.
Attending
were: Lisa Ward, Julie Duckworth,
Barbara Williams, Nancy Keim, Carol Lalicker, Carolyn Sink, Linda Reynolds, Lib
McGowan, Robin Johnston, Jennifer Devarnne, Jeanne Morgan, Kristin McClure, Dee
Conners, Laurie Colwell, and Allyson Banas.
Treasurer’s
Report, Julie
Duckworth:
- Our Quicken budget reports do
not include amounts carried over from year to year, so in order to show
the true balance of our checking account, those amounts are handwritten on
the reports. The PTA normally
carries several thousand dollars over between years to pay for Spiritwear,
teacher start-up funds, etc. in August, before fundraisers have been
held. We ear-mark this money for
specific purposes, and do not hold it as profit, to maintain our
non-profit status.
- Silent Auction and Fun Festival
proceeds reported to date are 4,734.48 and 3,323.37 respectively, for a
total of 8,057.85.
- The Wake County PTA Council is
increasing its scrutiny of individual chapter’s financial records, so we
need to be especially careful about keeping detailed records, especially
receipts for items purchased. At
this time, several teachers have not submitted receipts for their start-up
funds. Julie will provide Jeanne
Morgan and Jennifer Devarnne the names of the teachers who need to be
reminded about this. Julie will
develop a form for the teachers to submit with their receipts next year
that will require the teachers to itemize their expenditures, calculate
the total, and attach receipts.
This should satisfy the county requirements.
- Income/expense
reports for this year will be distributed to all committees soon, so that
they can determine what their budget requirement for next year will be.
Principal’s
Report, Linda
Reynolds:
- Mrs. Reynolds will be retiring
in June. A meeting will be held at
5:00 p.m. on April 4 in the multi-purpose room to
gather input from parents about the qualities desired in Baucom’s next
principal. Input can also be
e-mailed to jmizelle@wcpss.net.
- Carolyn Sink reported that
there was a good turn out for Dr. Katharine Leslie’s presentation on March
9, with parents from Baucom, Olive Chapel, Turner Creek and other schools
attending. A printed copy of Dr.
Leslie’s MS PowerPoint presentation will be available in the Media Center
for parents to review.
.
Teacher Liason Report, Jennifer Devarnne:
- The
AVTV program is in need of a new editing system, new microphones, and an
additional camera. The current
editing system “eats” tapes, current hand-held microphones do not pick up
sounds well and clip-on microphones would function better, and the
additional camera could be used in a hand-held manner for “roving
reporter” features to supplement our current fixed camera AVTV
capabilities. The estimated cost
is $3000, and the school would like to ask the PTA to supply $1500 of that
as an end-of-year gift. The
remainder will be supplied from the school budget.
President’s
Report, Dee
Connors:
- Thank you cards were passed.
- Thank you to Julie Duckworth,
who cleaned and organized the PTA closet.
Spiritwear and Fall Sale supplies will now be stored at the school
in the closet in a new locked cabinet.
- 2005-2006 traditional school
calendars were passed out. Current
plans are for Baucom to have the same bell schedule (starting and stopping
time) as this year.
- The Nominating Committee has selected
the following candidates for the 2005-2006 Executive Board: President –
Dee Conners, First Vice President – Robin Johnston, Second Vice President
– Kristin McClure, Secretary – Lisa Ward.
These four nominees were unanimously approved, and nominations for
those offices were closed. The
office of Treasurer is still open for nominations, because the nominee
found by the Nominating Committee had to decline because she is moving. The nominees will be voted on at the
April 12th PTA meeting.
- In addition to the AVTV
equipment, potential items for the end-of-year gift include paving the
mileage trail, and new equipment for the younger children’s
playground. Mrs. Cronk is working
on estimates for both of these items.
- The Wake County PTA Council’s
convention will be April 29 and 30, and will include workshops and a
dinner.
- Reflections entries from two
Baucom students, Aysha Kahn and Meghan Cass, won awards at the Wake County
level. Meghan Cass also won at the
district level, and her photograph will be sent on to the State
competition.
Committee
Reports:
Fun
Festival, Carol
Lalicker: The Fun Festival made $1700 on the raffle alone, and over $3700 in
total.
Silent
Auction, Barbara
Williams: The Silent Auction committee wrapped its baskets this year, and as a
result, no items “disappeared” from the baskets during the auction. Just a few people participated in the silent
bidding, and it generated a lot of paperwork, so it will not be offered next
year.
Spring
Book Fair, Kristin
McClure: The Spring Book Fair will be April 11 to 15 in the Media Center. Those who want to volunteer to help should
contact Kristin.
GM
Boxtops: Over 5,000
boxtops were collected on our GM Boxtop Day, March 4th. Mrs. Devarnne’s class won first place with
376 boxtops, Ms. Holt’s class was second with 370 boxtops, and Mrs. Morgan’s
class was third. There will be an
article in the Cary News about the collection on Thursday, March 24.
Reading
Celebration: Mrs.
Holt’s class won a cake and juice party from BJs for reading the most minutes
of any class in the 5th grade.
Newsletter: Deadline 3/25/05
Volunteers:
The volunteer drawing box was not available for the meeting, so no
volunteers were drawn this month. Two
will be drawn next month.
Next PTA
meeting: 4/12/05
Meeting was
adjourned at 6:47 p.m.
Respectfully
submitted,
Lisa Ward,
substituting for Cheryl Koch, Secretary
